The Babylon Beautification Society is pleased to present its annual Christmas Market at the Village Gazebo, Bayman Park, and in the Argyle Park parking lot, in the Village of Babylon.

This year, the Christmas Market is expanding into the Argyle Park parking lot, providing space for 40 additional vendors and an even greater selection of unique gifts for the holiday season.

The market will feature a carefully selected group of vendors offering handmade gifts, holiday-themed merchandise, and other unique items suitable for holiday gift-giving.

Due to the limited size of the event, vendor participation is restricted, and submitting an application does not guarantee acceptance.

Event Date: Saturday, December 12, 2026

Rain Date: Sunday, December 13, 2026

Market Hours: 10:30 a.m. to 3:00 p.m.

Location: Village Gazebo, Bayman Park, and the Argyle Park parking lot, Village of Babylon, New York

1. Vendor Fees & Payment

The vendor fee covers one 10′ × 10′ vendor space and includes a listing on our website.

  • Regular Fee: $175

  • Special Fee for October 11 Vendors: $100*

*Vendors who were accepted to participate in the canceled October 11, 2026 Annual Fair are eligible for a special discounted Christmas Market vendor fee of $100, a savings of $75 off the standard fee. This discounted rate applies only to the original accepted vendor and is nontransferable.

Payment is due at the time the application is submitted. An application is not considered complete and will not be reviewed until the required payment has been received.

Vendor fees are specific to the applicant and the December 12, 2026 Christmas Market.

Refunds and forfeiture of vendor fees following acceptance are governed by the cancellation and weather provisions contained in these Terms & Conditions.

2. Cancellation, Postponement & Refund Policy

Once an applicant has been approved to participate as a vendor, the vendor fee becomes non-refundable.

If an approved vendor subsequently cancels or withdraws, does not attend the event, arrives too late to participate, or otherwise fails to use their assigned space, the vendor fee will not be refunded.

Vendor spaces are non-transferable. A vendor may not sell, transfer, assign, or give their space to another vendor or third party.

Weather & Event Cancellation

The Christmas Market is scheduled for Saturday, December 12, 2026, with a rain date of Sunday, December 13, 2026.

The event is held outdoors and may take place in varying weather conditions. Vendors are responsible for monitoring the weather and preparing their tents, displays, merchandise, and equipment accordingly.

If inclement weather prevents the Christmas Market from taking place on December 12, the event will be postponed to December 13.

We reserve the right to cancel, delay, suspend, shorten, modify, or close the event due to inclement weather, unsafe conditions, emergencies, governmental directives, or other circumstances beyond our reasonable control.

If the event is canceled on the rain date, December 13, due to inclement weather or any other circumstances, vendor fees will not be refunded, credited, or transferred to future events.

If the event is delayed, suspended, shortened, modified, or closed due to any of these circumstances, vendor fees will not be refunded.

All decisions regarding cancellation, delay, suspension, modification, or closure of the event will be made by us. A vendor who chooses not to participate based on weather forecasts or conditions when the event has not been officially canceled will not be entitled to a refund.

We will announce any postponement or cancellation by 5:00 a.m. on the affected event date, or earlier if a decision has been made. Official notices will be communicated by email and/or through our website and social media channels.

3. Vendor Eligibility & Selection

All vendors must submit a complete application. Prior participation in a Babylon Beautification Society event does not guarantee acceptance.

Applications must include complete and accurate information about the applicant, business, and merchandise proposed for the event. Photographs of the merchandise must be included with the application and must accurately represent the products described. Applications submitted without sufficient photographs or information may be denied.

Only merchandise disclosed in the application and approved by us may be offered, displayed, or sold at the event. Vendors may not add or substitute merchandise without prior approval.

Applications containing false, misleading, incomplete, or materially inaccurate information may be denied. If such information is discovered after an applicant has been approved, we may revoke the vendor’s acceptance or require the vendor to leave the event.

All applications are subject to our review and approval. Applications are evaluated based on the needs of the event, available space, product mix, vendor categories, and other factors determined by us.

Applications are not approved on a first-come, first-served basis. Applying early does not guarantee acceptance or a particular vendor space. The date or time an application is submitted does not determine acceptance or vendor space assignment.

We reserve the right to limit the number of vendors in any category and to accept or deny any applicant for any reason.

All merchandise must be handmade, designed, created, or produced by the vendor unless otherwise specifically approved by us. Vendors may not purchase finished products or merchandise from third parties for resale at the event.

Preference is given to vendors offering holiday-themed merchandise and distinctive gift items suitable for holiday gift-giving.

4. Prohibited Vendors & Merchandise

To maintain the character and product mix of the Christmas Market, we reserve the right to limit or prohibit certain types of vendors and merchandise and to avoid conflicts with Village of Babylon businesses or other event considerations.

Prohibited Participants & Fundraising

The following are not permitted to participate as vendors:

  • Social, religious, or political organizations

  • Service organizations, service firms, or service companies

  • Nonprofit organizations

  • Businesses or applicants that do not meet the event guidelines

Fundraising of any kind is strictly prohibited. Vendors may not solicit donations, collect contributions, conduct raffles or other fundraising activities, or use their vendor space to raise funds on behalf of an organization, individual, or cause.

Clothing Vendors

Clothing and apparel vendors are a limited vendor category. To maintain the character and product mix of the event and to avoid unnecessary competition with Village of Babylon businesses, clothing applications are reviewed individually and acceptance is limited.

Particular consideration is given to the type of merchandise being offered and how it is designed, created, or produced. The following categories may not be accepted or may be limited:

  • Vintage, upcycled, repurposed, or tie-dyed clothing

  • Clothing, apparel, or accessories purchased from third parties for resale

  • Vendor-designed clothing or apparel that is manufactured or produced by a third party

  • Custom-printed clothing

  • Pet and doll apparel

Handmade knitted or crocheted apparel and accessories are considered handmade merchandise and are not subject to the clothing restrictions above.

Other Prohibited Merchandise & Activities

  • Manufactured, wholesale, or resale merchandise

  • Politically themed merchandise

  • Books, book sales, and author signings

  • Fruits, vegetables, cut flowers, and potted plants

  • Temporary tattoos, henna, and permanent jewelry services

Food Vendors

Food vendors are permitted but may be limited by category.

As space is limited, we reserve the right to limit the number of vendors offering particular merchandise in specific categories.

5. Application & Approval Process

All vendor applications must be submitted through our online vendor application.

Payment must be submitted at the time of application. An application is not complete and will not be reviewed until payment has been received.

Applicants are responsible for ensuring that their application has been completed and submitted properly and that their payment has been successfully processed. Failure to properly submit an application or complete payment does not reserve a vendor space.

Walk-on vendors are not permitted. All vendors must apply in advance and be approved by us before participating in the event.

Payment submitted with an application confirms only that the application and payment have been received. Payment does not constitute acceptance as a vendor.

Applicants will be notified by email if they are approved to participate as a vendor. If additional information is required to review an application, we may contact the applicant before making a decision.

If an application is not approved, or if the event reaches capacity before the application can be accommodated, the vendor fee paid with the application will be refunded in full.

Application Communications & Notifications

All application and vendor communications will be sent by email. Vendors must provide a valid email address and should use the same email address for their application, payment, and any correspondence with us.

We use an email communication platform to send important vendor communications, including application information, event updates, and other time-sensitive notices. Vendors should not unsubscribe from our emails. Unsubscribing prevents us from sending future vendor communications to that email address. Vendors who unsubscribe are responsible for any information or notices they do not receive as a result.

After payment is submitted, the applicant will receive an email receipt from PayPal confirming that payment was received. This confirms receipt of payment and the application but does not mean that the applicant has been approved as a vendor.

Applicants will also receive a separate confirmation email from us. During periods of high application volume, please allow 24–72 hours for this confirmation to arrive.

Applicants who do not receive a confirmation should check their spam or junk folder and confirm that the application charge appears on their credit card, bank, or PayPal account. If there is no payment receipt and no corresponding charge, the application may not have been received.

Approved vendors will receive their vendor space assignment by email prior to the event. Space assignments and other vendor information may also be published on our website.

Applicants are responsible for monitoring the email address used on their application and should add the following addresses and domains to their safe-sender list:

6. Vendor Spaces & Assignments

Space assignments are based on the event layout, available space, vendor mix, site conditions, and other factors determined by us. No specific space or location is guaranteed.  Due to space constraints, we cannot accept or accommodate requests for specific vendor spaces or locations.

Event locations may include grass, pavement, or other outdoor surfaces. Ground conditions may be uneven, wet, sloped, or affected by trees, landscaping, weather, or other naturally occurring conditions. Vendors should plan and prepare accordingly.

Vendors are responsible for determining whether their products, merchandise, displays, or equipment are suitable for outdoor conditions, including direct sunlight, wind, cold temperatures, and changing weather conditions. We cannot guarantee protection from the sun, wind, or other environmental conditions when assigning vendor spaces. Vendors should not request a particular location based on the weather or environmental needs of their products.

Vendors may not move, exchange, or relocate their assigned space without permission from one of our event officials. A vendor who moves or relocates without permission may be required to leave the event and will not be entitled to a refund.

If a vendor encounters a problem with their assigned space during setup, the vendor must contact one of our event officials so the issue can be evaluated and addressed when possible.

Each vendor space is 10′ × 10′. Vendors are limited to one space. We provide the assigned space only. Vendors are responsible for providing their own tent, tables, chairs, displays, and all other equipment or materials needed to participate.

All merchandise, displays, tables, chairs, signs, equipment, storage containers, and other materials must remain entirely within the vendor’s assigned space. Vendors may not use adjacent grass areas, walkways, sidewalks, pathways, or space between vendor booths for merchandise, displays, storage, or seating.

Tents and displays must be safely and securely installed and must not create a hazard to vendors, visitors, or neighboring spaces. Vendors are responsible for properly securing their tents and displays and should be prepared for outdoor weather conditions.

Gas-powered generators are prohibited. Electricity and Wi-Fi are not provided.

Vendors must maintain their space in a safe, clean, and orderly condition throughout the event and must not obstruct pedestrian traffic, emergency access, or neighboring vendor spaces.

Vendors must keep their assigned spaces and surrounding areas free of hazards and must not obstruct sidewalks, walkways, pedestrian traffic, emergency access, or neighboring vendor spaces.

Gas-powered generators are prohibited. Electricity and Wi-Fi are not provided.

Vendors must comply with all applicable federal, state, county, and Village of Babylon laws, regulations, permits, and health and safety requirements.

Food and beverage vendors are responsible for obtaining any required permits and complying with all applicable Suffolk County Department of Health Services requirements, including food handling, preparation, storage, and temperature controls.

Failure to comply with health and safety requirements or instructions from our event officials or Village of Babylon Code Enforcement personnel may result in removal from the event without a refund.

Vendors participate in the Christmas Market at their own risk and are responsible for their merchandise, equipment, tents, displays, personal property, and the conduct and safety of anyone working or assisting at their vendor space.

Neither we nor the Village of Babylon are responsible for any loss, theft, damage, injury, or other incident involving a vendor, their employees or assistants, merchandise, equipment, or personal property before, during, or after the event.

Vendors are responsible for complying with all applicable federal, state, county, and local laws, regulations, permits, licenses, and insurance requirements relating to their participation and the merchandise or services they offer.
