Note Regarding Handmade Items

The Argyle Spring Market is a handmade craft market featuring artisans, makers, and vendors selling items they personally create, design, or produce. We also accept a limited number of Specialty Food Vendors and select clothing and apparel vendors, subject to the specific requirements outlined below. Vendors selling mass-produced, wholesale, or finished products purchased from third parties for resale generally do not qualify.

Please review the applicable vendor requirements below very carefully before submitting an application. If you are unsure whether your items qualify, please contact us before applying.

1. Event Information & Applicability of Terms

These Vendor Terms & Conditions apply to participation in the Argyle Spring Market scheduled for Saturday, May 22, 2027, with a rain date of Sunday, May 23, 2027, organized by the Babylon Beautification Society.

Vendors who were accepted for the October 11, 2026 Annual Fair are eligible to participate in the Argyle Spring Market at no cost. Eligible vendors must confirm their participation by submitting the online opt-in form. Vendors who do not submit the form will be considered to have declined their complimentary space.

By submitting an application and payment, the applicant acknowledges that they have read, understand, and agree to these Vendor Terms & Conditions and any additional requirements stated on the application.

Submission of an application and payment does not guarantee acceptance. Participation is subject to review and approval by the Babylon Beautification Society.

2. Vendor Fees & Payment

Vendor fees for the Argyle Spring Market are:

  • October 11, 2026 Annual Fair Vendors — One complimentary 10′ × 10′ space, subject to confirmation through the online opt-in form.

  • Additional Craft Vendor — One 10′ × 10′ space: $275

  • Additional Specialty Food Vendor — One 10′ × 10′ space: $315

All vendors are limited to one 10′ × 10′ space. Double spaces are not permitted.

For additional vendors applying for a paid space, payment is due at the time the application is submitted. An application is not considered complete and will not be reviewed until the required payment has been received.

Vendor fees and complimentary spaces are specific to the approved vendor and the Argyle Spring Market on May 22, 2027, or its May 23 rain date.

Refunds and forfeiture of vendor fees following acceptance are governed by the cancellation and weather provisions contained in these Terms & Conditions.

3. Vendor Cancellation & Refund Policy

Once an applicant has been approved to participate as a vendor, the vendor fee becomes non-refundable.

If an approved vendor subsequently cancels or withdraws, does not attend the event, arrives too late to participate, or otherwise fails to use their assigned space, the vendor fee will not be refunded.

Vendor spaces are non-transferable. A vendor may not sell, transfer, assign, or give their space to another vendor or third party.

Vendors receiving a complimentary space who subsequently cancel, withdraw, or fail to attend will forfeit that space. Complimentary spaces have no cash value and cannot be refunded, credited, or transferred to another event.

4. Weather & Event Cancellation

The Argyle Spring Market is scheduled for Saturday, May 22, 2027, with a rain date of Sunday, May 23, 2027.

The event is held outdoors and may take place in varying weather conditions. Vendors are responsible for monitoring the weather and preparing their tents, displays, merchandise, and equipment accordingly.

The Babylon Beautification Society reserves the right to cancel, delay, suspend, shorten, modify, or close the event due to inclement weather, unsafe conditions, emergencies, governmental directives, or other circumstances beyond the Society’s reasonable control.

If the event is cancelled, delayed, suspended, shortened, modified, or closed due to any of these circumstances, including cancellation on the rain date, vendor fees will not be refunded, credited, or transferred to another event. Complimentary spaces will also be forfeited without refund, credit, or transfer.

All decisions regarding cancellation, delay, suspension, modification, or closure of the event will be made by the Babylon Beautification Society. A vendor who chooses not to participate based on weather forecasts or conditions when the event has not been officially cancelled will not be entitled to a refund.

Official notices regarding cancellation or significant changes to the event will be communicated by email and/or through the Babylon Beautification Society’s website and social media channels.

5. Vendor Eligibility & Application Requirements

Vendors eligible for a complimentary space based on their acceptance for the October 11, 2026 Annual Fair do not need to reapply. They must confirm their participation through the designated online opt-in form. These vendors will receive priority for available spaces.  The Babylon Beautification Society will assign all spaces.

If space remains available, vendors who were not accepted for the October 11, 2026 Annual Fair may submit an application.

Applications must include complete and accurate information about the applicant, business, and products or services proposed for the event. Applicants must provide photographs or other information requested by the Babylon Beautification Society as part of the review process.

Only products, merchandise, or activities disclosed in the application and approved by the Babylon Beautification Society may be offered, displayed, sold, or conducted at the event. Vendors may not add or substitute products or activities without prior approval.

Applications containing false, misleading, incomplete, or materially inaccurate information may be denied. If such information is discovered after an applicant has been approved, the Babylon Beautification Society may revoke the vendor’s acceptance or require the vendor to leave the event.

6. Application Review & Vendor Acceptance

All new vendor applications are subject to review and approval by the Babylon Beautification Society. Applications will be considered only if space remains after eligible October 11, 2026 vendors have confirmed their participation. Applications are evaluated based on the needs of the event, available space, product mix, vendor categories, and other factors determined by the Society.

Due to the limited number of vendor spaces available, additional applications may not be accepted.

New vendor applications are not approved on a first-come, first-served basis. Applying early does not guarantee acceptance or a particular vendor space. The date or time an application is submitted does not determine acceptance or vendor space assignment.

Payment submitted with an application confirms only that the application and payment have been received. Payment does not constitute acceptance as a vendor.

Applicants will be notified by email if they are approved to participate as a vendor. If additional information is required to review an application, the Babylon Beautification Society may contact the applicant before making a decision.

If an application is not approved, or if the event reaches capacity before the application can be accommodated, the vendor fee paid with the application will be refunded. If an application is denied because the applicant or the products, services, or activities proposed do not meet the eligibility requirements stated in these Terms & Conditions, payment processing fees incurred by the Babylon Beautification Society will be deducted from the refund.

The Babylon Beautification Society reserves the right to limit the number of vendors in any category and to accept or deny any applicant for any reason.

7. Vendor Space Assignment & Location

Space assignments are based on the event layout, available space, vendor mix, site conditions, and other factors determined by the Babylon Beautification Society. No specific space or location is guaranteed.

All vendor spaces will be located along the north and east sides of Argyle Lake (Sections A and B). Each vendor will be assigned one 10′ × 10′ space. Vendors may not request additional or adjoining spaces.

Requests for corner or end spaces will not be considered. Please avoid requests to be placed near or away from other vendors based on the products being sold.

Event locations may include grass, pavement, or other outdoor surfaces. Ground conditions may be uneven, wet, sloped, or affected by trees, landscaping, weather, or other naturally occurring conditions. Vendors should plan and prepare accordingly.

Vendors are responsible for determining whether their products, merchandise, displays, or equipment are suitable for outdoor conditions, including direct sunlight, heat, wind, and changing weather conditions. The Babylon Beautification Society cannot guarantee shade, protection from the sun or wind, or any other particular environmental condition when assigning vendor spaces. Vendors should not request a particular location based on the weather or environmental needs of their products.

Vendors may not move, exchange, or relocate their assigned space without permission from a Babylon Beautification Society event official. A vendor who moves or relocates without permission may be required to leave the event and will not be entitled to a refund.

If a vendor encounters a problem with their assigned space during setup, the vendor must contact a Babylon Beautification Society event official so the issue can be evaluated and addressed when possible.

8. Setup, Event Hours & Breakdown

Vendor setup may begin at 5:00 a.m. on the morning of the event. All vendors must be fully set up and ready for the event by 8:00 a.m. Setup is not permitted the day before the event.

Vehicles may not be driven or parked on grass areas. Vendors must follow all posted signs and instructions regarding vehicle access, unloading, and parking during setup and breakdown.

The event ends at 4:00 p.m. Vendors are expected to remain open and operating until the event closes and may not begin breaking down their booth or display before 4:00 p.m.

Trolley Line Road may be closed to vehicular traffic for a portion of the event day. Access to the event area may be restricted once the road is closed. Vendors needing to exit the area by vehicle during the closure may be permitted to do so at a reduced speed and only under the direction of Village of Babylon Code Enforcement officials. Vendors are responsible for following all traffic restrictions and directions from event officials.

Vendors must follow the directions of Babylon Beautification Society event officials and Village of Babylon Code Enforcement officials during setup, throughout the event, and during breakdown. Roadways, sidewalks, pedestrian pathways, and other designated access areas must be kept clear.

Vendors are responsible for removing all merchandise, displays, equipment, trash, and other materials from their space at the conclusion of the event. This includes all zip ties, fasteners, packaging, and other small materials used during setup or breakdown. Nothing may be left on the ground or elsewhere within the event area, and each vendor space must be left clean and in the condition in which it was found.

9. Vendor Booth & Space Requirements

Each vendor space is 10′ × 10′. All vendors are limited to one space. The Babylon Beautification Society provides the assigned space only. Vendors are responsible for providing their own tent, tables, chairs, displays, and all other equipment or materials needed to participate.

All merchandise, displays, tables, chairs, signs, equipment, storage containers, and other materials must remain entirely within the vendor’s assigned space or spaces. Vendors may not use adjacent grass areas, walkways, sidewalks, pathways, or space between vendor booths for merchandise, displays, storage, or seating.

Tents and displays must be safely and securely installed and must not create a hazard to vendors, visitors, or neighboring spaces. Vendors are responsible for properly securing their tents and displays and should be prepared for outdoor weather conditions.

Gas-powered generators are prohibited. Electricity and Wi-Fi are not provided.

Vendors must maintain their space in a safe, clean, and orderly condition throughout the event and must not obstruct pedestrian traffic, emergency access, or neighboring vendor spaces.

10. Merchandise & Product Requirements

All merchandise offered for sale must comply with the requirements of the vendor category under which the applicant was approved.

For Craft Vendors, all items must be handmade, designed, created, or produced by the vendor unless otherwise specifically approved by the Babylon Beautification Society. Vendors may not purchase finished products or merchandise from third parties for resale at the event.

The Babylon Beautification Society may limit or prohibit certain products or categories of merchandise in order to maintain the character and product mix of the event and to avoid conflicts with Village of Babylon businesses or other event considerations.

Event officials may inspect vendor merchandise during the event to ensure compliance with these requirements. Merchandise that was not approved or does not comply with these Terms & Conditions may be required to be removed from sale.

A vendor who misrepresents their merchandise, sells prohibited or unapproved items, or sells third-party merchandise in violation of these requirements may be required to leave the event without a refund and may be denied participation in future Babylon Beautification Society events.

Vendors who believe another vendor is selling merchandise that does not comply with the handmade requirements may report the matter to the Babylon Beautification Society. Reports may be submitted anonymously through the vendor complaint form on the Society’s website.

11. Clothing Vendors

Clothing and apparel vendors are a limited vendor category. To maintain the character and product mix of the event and to avoid unnecessary competition with Village of Babylon businesses, clothing applications are reviewed individually and acceptance is limited.

Particular consideration is given to the type of merchandise being offered and how it is designed, created, or produced. The following categories may not be accepted or may be limited:

  • Vintage, upcycled, repurposed, or tie-dyed clothing

  • Clothing, apparel, or accessories purchased from third parties for resale

  • Vendor-designed clothing or apparel that is manufactured or produced by a third party

  • Custom-printed clothing

  • Pet and doll apparel

Handmade knitted or crocheted apparel and accessories are considered handmade merchandise and are not subject to the clothing restrictions above.

These guidelines apply regardless of whether a vendor has participated in a Babylon Beautification Society event in the past. Prior participation does not guarantee acceptance as a clothing vendor.

Only the clothing, apparel, and accessories disclosed in the application and approved by the Babylon Beautification Society may be displayed or sold at the event.

12. Specialty Food Vendors & Food Products

Specialty Food Vendor spaces are limited. Vendors accepted for the October 11, 2026 Annual Fair who confirm their participation will receive priority. Additional Specialty Food Vendor applications may be considered if space remains available.

Specialty Food Vendors will be located within the designated Spring Market area along the north and east sides of Argyle Lake (Sections A and B). Food trucks will be located separately on Trolley Line Road and are not included in the Specialty Food Vendor spaces.  Food Trucks cannot apply here; please contact us.

Anything intended to be eaten or ingested is considered a Specialty Food product for purposes of the event, except pet food and pet treats as described below.

Specialty Food products may include:

  • Baked goods, excluding pies

  • Baked breads

  • Gluten-free baked goods

  • Nuts and granola

  • Bars

  • Pickles

  • Spices

  • Hot sauces and other condiments

  • Homemade candy and chocolates

All food products must be made or produced by the approved vendor. Vendors may operate from a home or commercial kitchen, but finished food products may not be purchased or sourced from third parties and resold at the event. Ingredients used to make the vendor’s products may be sourced from third parties.

All food products must be prepackaged. Food may not be prepared, cooked, or packaged onsite. All samples must also be prepackaged.

All Specialty Food Vendors must provide their own 10′ × 10′ tent and all other equipment and materials necessary for their operation.

Heating and refrigeration units are prohibited. Products requiring ice or dry ice coolers to remain refrigerated or frozen may be permitted with prior approval. Other cold-storage arrangements may also be permitted with prior approval. Vendors requiring any form of cold storage must contact the Babylon Beautification Society before applying.

  • Pies

  • Alcohol

  • Bottled water or other bottled beverages

  • Canned beverages

  • Any other beverages

All food vendors must follow proper food-safety practices. Food-grade gloves must be used whenever handling or serving food, changed frequently, and hands must be kept clean at all times. Food preparation and storage must comply with all applicable Suffolk County Department of Health guidelines.

Because all food and samples must be prepackaged, a Suffolk County Board of Health permit is not required under the requirements applicable to this event.

Pet Food & Pet Treats

Pet food and pet treats are permitted but are considered Craft Vendors and are not part of the Specialty Food Market. Pet food vendors must apply using the Craft Vendor application.

All pet food and treats must be prepackaged and may not require refrigeration, coolers, or ice. Pet food may not be sold frozen. Pet food vendors are not permitted to have their pets at their vendor space.

  • Service organizations, service firms, or service companies

  • Nonprofit organizations

  • Businesses or applicants that do not meet the event guidelines

The Babylon Beautification Society offers a variety of sponsorship opportunities for businesses interested in promoting or marketing their company, products, or services at our events. Businesses interested in sponsorship opportunities should contact us separately for additional information.

Fundraising of any kind is strictly prohibited. Vendors may not solicit donations, collect contributions, conduct raffles or other fundraising activities, or use their vendor space to raise funds on behalf of an organization, individual, or cause.

15. Conduct & Behavior

All vendors and their employees, assistants, representatives, and guests are expected to conduct themselves professionally and to treat other vendors, event visitors, volunteers, event officials, and Village personnel in a courteous and respectful manner.

Inappropriate, disruptive, threatening, abusive, or unsafe behavior will not be tolerated. Vendors are responsible for the conduct of all individuals working in or associated with their vendor space.

The Babylon Beautification Society reserves the right to require any vendor or other person to leave the event for inappropriate conduct, failure to follow these Terms & Conditions, or failure to comply with the directions of event officials. A vendor removed from the event will not receive a refund and will be permanently prohibited from participating in future Babylon Beautification Society events.

Village of Babylon Code Enforcement and Suffolk County Police are onsite during the event. Vendors must comply with all lawful directions given by Babylon Beautification Society event officials, Village of Babylon Code Enforcement officials, and law enforcement personnel.

16. Smoking & Vaping

Smoking and vaping are strictly prohibited anywhere on the event grounds, including within vendor spaces, setup and breakdown areas, and surrounding public spaces.

This prohibition applies to vendors and all employees, assistants, representatives, and guests associated with their vendor space.

Anyone observed smoking or vaping in violation of this policy will be required to leave the event and may be escorted from the event grounds by Village of Babylon Code Enforcement.

17. Liability & Responsibility

Each vendor participates in the event at their own risk and is responsible for their own person, property, merchandise, equipment, displays, and other belongings, as well as those of their employees, assistants, representatives, and guests, before, during, and after the event.

Neither the Babylon Beautification Society nor the Village of Babylon shall be responsible for loss, theft, or damage to a vendor’s property, merchandise, equipment, displays, or other belongings resulting from weather, site conditions, the actions of other vendors or event attendees, or other circumstances beyond their reasonable control.

Vendors are responsible for the safe installation, operation, and removal of their tents, displays, merchandise, equipment, and other materials and for any injury, damage, or loss caused by the vendor or by any person, property, equipment, merchandise, or activity associated with their vendor space.

Vendors are responsible for complying with all applicable federal, state, county, and Village of Babylon laws, rules, regulations, permits, licenses, and requirements applicable to their business, merchandise, activities, and participation in the event.

The Babylon Beautification Society reserves the right to enforce these Terms & Conditions and all event rules before, during, and after the event.

18. Parking

Vendors and their employees, assistants, representatives, and guests must comply with all posted parking restrictions in the Village of Babylon.

Vendors may not drive or park on grass areas within Argyle Park. All loading and unloading must take place in designated areas and in accordance with instructions from Babylon Beautification Society event officials.

Public parking is available at the Long Island Rail Road station, along Trolley Line Road, and on Locust Avenue.

Vendors must comply with all posted parking restrictions and the directions of Babylon Beautification Society event officials and Village of Babylon Code Enforcement officials.

19. Application Communications & Notifications

All communications regarding the Argyle Spring Market will be sent by email. Vendors are responsible for providing a valid email address and monitoring their inbox, including spam or junk folders, for important event information.

Vendors receiving a complimentary space must confirm their participation through the designated online opt-in form. Additional vendors applying for paid spaces will receive a payment receipt through PayPal and application communications from the Babylon Beautification Society.

Additional paid vendors will receive an application confirmation email, generally within 24–72 hours of submission. This confirmation does not constitute acceptance. Vendors receiving complimentary spaces will receive communications regarding their confirmed participation separately.

Applicants who do not receive a confirmation should check their spam or junk folder and confirm that the application charge appears on their credit card, bank, or PayPal account. If there is no payment receipt and no corresponding charge, the application may not have been received.

Applicants will be notified by email when their application has been approved. The Babylon Beautification Society may also contact an applicant if additional information is needed to review the application.

Approved vendors will receive their vendor space assignment by email prior to the event. Space assignments and other vendor information may also be published on the Babylon Beautification Society website.

Applicants are responsible for monitoring the email address used on their application and should add the following addresses and domains to their safe-sender list:

20. Online Vendor Directory

Vendors who confirm their complimentary spaces and additional vendors whose applications are approved will be included in the Online Vendor Directory for the Argyle Spring Market. We will use the information from your 2026 application.  We will also add accepted new vendors to the directory.

The directory may include information provided by the vendor, including the vendor or business name, products offered, website, and social media information.

Approximately one week before the event, the directory will be updated to include vendor space locations and a site map so visitors can locate vendors throughout the event.

Vendors are responsible for providing accurate information for the directory. The Babylon Beautification Society may edit, shorten, or format information submitted by vendors as necessary for publication.

21. Application & Space Requirements

Vendors eligible for a complimentary space must confirm their participation through the designated online opt-in form. Additional vendors may apply through the online vendor application if space remains available. Applications and confirmations must be submitted online.

Payment is required at the time of application for additional paid vendors. Applications requiring payment will not be considered complete or reviewed until payment has been received. No payment is required for vendors receiving a complimentary space.

Applicants are responsible for ensuring that their application has been completed and submitted properly and that their payment has been successfully processed. Failure to properly submit an application or complete payment does not reserve a vendor space.

Walk-on vendors are not permitted. All vendors must either confirm their participation through the designated complimentary vendor opt-in form or submit an application and receive approval from the Babylon Beautification Society before participating in the event.

All vendors are limited to one 10′ × 10′ space. Double spaces are not permitted. Vendor spaces are assigned by the Babylon Beautification Society, and location requests cannot be accommodated.

22. Acceptance of Terms

By submitting a vendor application and payment, or confirming participation through the complimentary vendor opt-in form, the vendor acknowledges that they have read, understand, and agree to comply with these Vendor Terms & Conditions.

The applicant understands that submission of an application and payment does not guarantee acceptance as a vendor and that participation is subject to review and approval by the Babylon Beautification Society.

The applicant is responsible for ensuring that all information provided in the application is complete and accurate and that all individuals participating under the applicant’s vendor space comply with these Terms & Conditions.

Vendors must affirmatively acknowledge their acceptance of these Vendor Terms & Conditions as part of the online application or complimentary vendor opt-in process. An application or opt-in confirmation may not be submitted without this acknowledgment.

The Babylon Beautification Society reserves the right to make reasonable changes to these Terms & Conditions when necessary for the operation, safety, or administration of the event. Approved and confirmed vendors will be notified of any material changes that affect their participation.
