The information noted below was emailed to all approved vendors at the end of August 2025.  If you did not get the email, please check all spam and junk folders, and to ensure you get all emails from us, be sure to white list our email addresses and add them to your safe-sender list:

Vendor Space Logistics

1. Your assigned space is included in your vendor listing in the directory.
2. You may only set up in your assigned space. Your space number will be spray-painted on the ground. Do not set up outside the marked space.
3. You may only move your space if authorized by a fair official (applies only if the area is wet).
4. All setup must be completed by 8:00 a.m.
5. Breakdown must be completed by 5:30 p.m.
6. All space assignments are final and cannot be changed.

Fair officials will be on-site to assist you.

Rain Notification

Please check your email, website, and Facebook page for updates. Depending on the forecast, we will post any notices by 5 a.m. on fair day, or earlier in the week.

Important Information

• Your vendor application was approved based on the information you provided and your affirmation that you hand-made all the items you sell. If you sell items that are not handmade, and we are made aware, you will be removed from the fair and barred from participating in future fairs.
• If you note any vendor selling questionable items, please let us know immediately and provide the vendor space so we can investigate the matter. Please report those vendors here.
• All vendor spaces are 10’ x 10’, easily accommodating your display needs. Vendors are not permitted to alter any part of the landscape, and trimming or cutting any tree or shrub is strictly prohibited. Any vendor who does so will be removed from the site.
• Important: Do not place items outside the tent area, including display units and chairs. Space is very limited, and the crowds are very large. You must not block the sidewalks, pathways, and walkways.
• Spaces are non-transferable and cannot be sold or transferred to another vendor. Fair officials may ask for your ID at any time. If you aren’t present and someone else is in your space, they will be removed from the fairgrounds, and you will be prohibited from participating in future fairs.
• Gas-powered generators or any equipment of that nature are strictly prohibited. Heating and refrigeration units are strictly prohibited.
• Beverage sales are prohibited unless an exception is granted in advance. This includes homemade beverages, bottled water, and other bottled/canned beverages. The sale of alcohol is strictly prohibited.
• Neither the Babylon Beautification Society nor the Village of Babylon shall be held liable for any damages, loss, theft, or injury resulting from the applicants and their agents’ participation. Each vendor is solely responsible for their person, property, and agents before, during, and after the event.

Conduct & Behavior

We expect all vendors to be professional and treat other vendors and visitors in a kind and courteous manner. We reserve the right to remove any vendor or person from the premises for any reason. Refunds will not be given to any vendor removed from the site.

Unloading/Loading & Parking Rules

Note: The parking lot at Argyle Park will be closed to vehicles as it will be used for vendor spaces. Vehicles will not be permitted to enter this area at any time. Vendors cannot park/unload in the gazebo area, behind the Masonic Hall, or at Bayman Park. We strongly recommend that you begin unloading before 6 am.

Loading/Unloading Times

• Before 8:00 am and after 5:00 pm, only
• Limited to 15 minutes per vendor

Loading/Unloading Zones

• West-bound lane of Montauk Highway at Fair site
• East-bound lane of Trolley Line Road
• There is no loading/unloading on any grass areas

Parking

• There is no parking on the grass.
• You are prohibited from driving on the grass or any part of the Park area.
• Vendor parking is limited to the parking field on the North Side of Argyle Park on Trolley Line Road.

Any vendor who violates the parking rules will be barred from attending future events.

Parking Permit

Please download and print this parking permit and leave it visible on the driver-side dashboard of each vehicle you park near the fairgrounds. Be sure to write your vendor space assignment clearly on the permit.
